Financial Advisor Assistant (Portfolio Administrator)

Location: Blue Ash, Ohio

Position Summary

This position works directly for our Advisors in implementing/maintaining client portfolios, responding to client needs and requests. The Assistant will have significant direct contact with our clients requiring superb and highly polished client service skills.

This role is responsible for

  • Managing the Advisor’s calendars and scheduling client appointments
  • Precise data entry into our CRM (Tamarac) and Schwab (Custodian)
  • The timely and accurate preparation of client documents
  • Facilitate account administration including asset transfer, account openings, account closings
  • Resolve daily operational matters related to trading, compliance, and transitions
  • Office management, answering phones, greeting clients, ordering supplies and office aesthetics
  • Performing other work-related duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)

This position requires a strong background in understanding back office operations of an investment manager and familiarity with the reporting requirements.

A strong understanding of investment operations support, compliance support, client reporting and operations.

A minimum of 3-5 years of business experience at investment management or industry-related organizations.

Familiarity with Tamarac and Schwab is a plus.

Desire to grow and learn in an ever-changing environment.

A self-starter with strong organizational skills, capable of consistently meeting deadlines.

Must be comfortable working in a small entrepreneurial environment where all employees regularly assist others in helping carry out the firm’s mission.

Must be eligible to work in the US without sponsorship or restriction now and in the future.

Attention to detail is an essential qualification for success in the role.

Proficiency with Microsoft Office products, particularly Excel, Outlook and Word.

As a Portfolio Administrator, you will –

Respond to a high volume of requests from clients and Financial Advisors in a TIMELY AND PROFESSIONAL manner.

Generate and review quarterly performance reports, tax reports, and investment management fee bills, ensuring timely processing of each.

Minimum of three years of experience working in financial services and/or investment management. Prior experience at a Registered Investment Advisor (RIA) firm is especially helpful.
